The challenge
The whole business ran on a no-code platform that had reached its limits. Large volumes (time entries, purchase orders) slowed daily work, stacked formulas and views made every change a workaround, and the data model had become too fragmented to evolve. The company also depended entirely on a third-party vendor for a tool it could not control.
The solution
We wrote the functional specification from the existing tool, reviewed it process by process with the management team, then rebuilt the system as a custom ERP (Next.js, PostgreSQL, Prisma), keeping the business logic the teams already knew.
- The project file as the pivot: one status timeline from costing to fully paid, planned versus actual hours for design office, workshop and site, with overrun alerts
- Costing by line item: external costs with a purchasing coefficient, labour priced by operation hourly rate with a contingency coefficient, manual selling price, live margin and margin coefficient
- Quotes assembled into a one-page offer or a five-page technical and commercial offer, generated as PDF
- Four purchase order types, supplier catalogues with price history, partial receipts line by line and supplier invoice matching
- Delivery notes that decrement the quantity left to deliver; deposit, progress and standard invoices, credit notes and pro formas under gapless legal numbering
- Continuous cost tracking per project: planned, actual and variance, committed purchases counted before receipt, dated snapshots and accounting exports
- HR: individual and grouped time entry, signed monthly summaries exported to payroll, leave approved by the line manager, mission orders feeding hours and expenses into project costs
- QSE, equipment and welding: non-conformities with 5M root-cause analysis, action plans, standards watch, automatic periodic inspection due dates, batch inspection campaigns, welder qualifications with validity tracking
- Role-based access for management, project managers, accounting and HR, with project managers scoped to their own projects
- Agent John wired into the application: the team describes a change in plain language, a human approves before anything ships
The result
The teams now run every project, from first costing to cash collection, on software built around how the workshop actually operates, with a real-time view of planned versus actual cost and margin on each job. The application is hosted in France, and the client owns its code and its data.
